Data AccuracyIf your contact data isn’t accurate, you effectively have no way to contact your prospects or customers. And if you can’t get in touch with your customers and prospects, how can you hope to improve your company’s sales? It’s a vicious cycle caused by deteriorating data

Fortunately, there are some ways to rectify the issue. If you need to make your contact data records more accurate, try one or more of these five fixes:

  1. Try contacting them

It seems like an obvious solution, and it is – but it’s one that many people overlook. One of the easiest ways to determine if an email address or phone number is valid is to use it. If you don’t reach the person or the email bounces, you’ll know you need to update their info.

  1. Keep your forms consistent

If the contact form on your website has three boxes for the phone number field, but your customer email database only has one, you’re asking for trouble. Whenever possible, keep forms for your customers, support reps and salespeople consistent with the way the information is stored on the back-end. This reduces the likelihood that something will get lost in translation and helps you access important customer data on any lead generation database.

  1. Send an email to your list and ask them to update their info

Like many things in life, sometimes all you have to do is ask for the information you need. You can also use this opportunity to tease a new product release, update, or offer that you are going to send to your list. This gives people an extra incentive to ensure their contact information is up to date.

  1. Set standards for data entry

It’s important that your organization has a benchmark for the way information is entered into each system. Do you use hyphens between phone numbers, or write them as one long number? Do you write last names first? How do you express company size and revenue? Make sure that everyone knows how to input contact data in your organization, especially new employees or those who are responsible for inputting a large number of records each day.

  1. Compare your records to a third-party

If you know of a trustworthy company that offers sales records or data cleaning, it’s a good idea to compare your records to an external benchmark. Your databases might not overlap completely, but the provider should be able to help with at least part of the verification process, making the rest of it easier on your team.
